NexHood is a product of 8Collab, Company No. 202501001970 (1603384-W) ("we", "us", "our"). This Privacy Policy explains how we collect, use, and protect information across the app.
1. Information we collect
NexHood is a verified-residency neighbourhood app. To keep communities private and trustworthy, we collect:
- Account information: name, email address, phone number, password (hashed), and profile photo.
- Residency verification: property/unit details and supporting documents (e.g. tenancy agreement, ownership proof) submitted during property registration.
- Community content: messages, posts, polls, photos, and reactions you share within property chat rooms and community feeds.
- Visitor & access data: visitor names, purpose of visit, vehicle details, QR pass tokens, and entry/exit timestamps recorded by security guards.
- Parcel data: parcel photos, recipient unit, and pickup status logged by security staff.
- Incident & feedback reports: descriptions, photos, and location details you submit.
- Marketplace & rewards activity: vouchers redeemed, listings posted, and merchant interactions.
- Location data: approximate or precise location, only when you enable it to discover nearby merchants and services.
- Device & usage data: device model, OS version, app version, crash logs, and push notification tokens.
2. How we use your information
- Verify that you are a genuine resident, owner, tenant, contractor, or security staff member of a property before granting access.
- Operate core features: community feeds, chat, visitor QR passes, parcel tracking, incident reports, marketplace, and rewards.
- Power the Alma AI assistant to answer property-specific questions using property guides and your queries.
- Send you transactional notifications (e.g. visitor arrival, parcel received, incident updates).
- Maintain audit trails for security and gate-access accountability.
- Improve app reliability through crash and performance diagnostics.
- Prevent fraud, abuse, and unauthorised access to properties.
3. Who we share information with
We do not sell your personal data. We share limited data only where necessary:
- Within your property: your display name and profile photo are visible to other verified residents of the same property. Your phone number is never shared with other residents.
- Property management & security staff: visitor, parcel, and incident data relevant to their role.
- Service providers: cloud hosting, push notification, and analytics/crash-reporting providers, bound by confidentiality obligations.
- Legal compliance: where required by law, court order, or to protect the safety of residents.
4. Data retention
We retain account and community data for as long as your account is active. Visitor, parcel, and access-log data tied to a specific property is retained for a limited audit period after your account is closed, in line with typical estate security record-keeping practices.
5. Your rights & choices
- Access, correct, or update your profile information at any time from the app.

6. How we protect your data
We use encrypted connections (HTTPS) for all traffic between the app and our servers, hashed password storage, and role-based access controls so that only authorised property staff can view visitor, parcel, or incident data relevant to their role. QR visitor tokens are time-bound and revocable.
However, no method of transmission over the internet or electronic storage is 100% secure. While we work to protect your information using commercially reasonable safeguards, we cannot guarantee its absolute security, and you share information with us at your own risk.
7. Third-party services & links
NexHood may link to, or integrate with, third-party services (for example, marketplace vendors, map or payment providers, or social platforms such as Instagram). We are not responsible for the privacy practices or content of third-party services, and we encourage you to review their own privacy policies before interacting with them.
8. Data handling
User data is hosted in Malaysia. We do not transfer user data to any other countries.
9. Children's privacy
NexHood is intended for adult residents, owners, tenants, and property staff. We do not knowingly collect data from children under 13, and we will delete such data if we become aware it was collected in error.
10. Changes to this policy
We may update this policy as NexHood evolves. Material changes will be notified in-app or via email before they take effect. Continued use of the app after changes take effect constitutes your acceptance of the revised policy.
